Travel & accommodation
See below for information regarding travel and accommodation for ACTOR-funded and self-funded participants. If you are unsure of your category, please contact Andre Oliveira (actor-project.music@mcgill.ca)
ACTOR-funded participants are those who will have their travel and lodging costs covered by ACTOR. This includes institutional representatives, selected student presenters, certain committee members, and staff.
Self-funded participants are those who will pay for their own expenses to be able to participate in the workshop. This includes all the other ACTOR members (collaborators and student members).

ACTOR has made arrangements with UBC Conferences and Accommodation to offer its members the following options:

Rate: $198 + 13% tax per night

Details: Studio with queen bed, private washroom, air conditioning, work desk with telephone, flat-panel TV and WIFI, fully-equipped kitchen and complimentary coffee. Maximum 2 guests per studio.

Distance to workshop location: 400m (5min walk)
Details: This low-cost accommodation is a great option for students. With mixed rooms (single/double), the Place Vanier residence has shared hallway washrooms, with male and female washrooms located on alternate floors. Limited housekeeping service is available (i.e., linen is provided; guests bring their own towels and soap). Complimentary Wi-Fi is included. Buildings offer a social lounge with TV, fridge, sink and microwave on every floor and are equipped with elevators. Note that guests may be placed on single or double rooms (i.e., sharing with other participants). This will be determined later on, depending on the number of guests booking rooms.

Payment should be done by cheque made to “McGill University” at the workshop. Complete details will be sent upon reservation.
ACTOR-funded Participants
Travel
ACTOR is committed to fund the travel expenses of partner institutions’ representatives (IRs) as well as of selected student presenters. These individuals can decide whether to make their own bookings or have their flights booked by ACTOR’s Project Coordinator.
For those booking their own flight, it is important to note that the reimbursement will be processed taking the economy class rate as reference. Also, should the participant decide to extend their trip, a quotation for the itinerary purely related to ACTOR business, excluding unnecessary stopovers and trip extensions, must be provided. Usually, the itinerary should start one day before and finish one day after the business or two days before and after if traveling overseas. This alternate quotation must be obtained on the same day and within two (2) hours of the actual airfare ticket that was booked. The quotation must include the travel management company name/website, day, time, and must be for the lowest logical airfare. The Claimant will be reimbursed the lowest airfare. The relevant documentation for the reimbursement includes:
airline invoice,
receipt,
proofs of payment,
boarding passes,
claimant form.
For those having their flight booked by ACTOR, it is necessary to confirm: a) itinerary, and b) duration of stay with the Project Coordinator.

Accommodation
The hotel offered to ACTOR-funded members is the Gage Suites - Signature Studio (3 stars). Reservations will be handled by ACTOR. Members must confirm their check-in and check-out dates with Andre Oliveira and indicate whether they will be bringing family (an additional fee might apply and this will be covered by the member).
